Email and document delivery

Open Settings, then Email. Under sender and automation, set the sender name and an optional reply-to address; the document templates hold the subject and message per document type and language. With automatic sending after issue switched on, issuing a document emails it straight to the stored address – the issue dialog tells you beforehand whether and to whom.

Check the sender

Open Settings, then Email. Under sender and automation, set the sender name and an optional reply-to address; the document templates hold the subject and message per document type and language. With automatic sending after issue switched on, issuing a document emails it straight to the stored address – the issue dialog tells you beforehand whether and to whom.

Send a document

Open the issued document and choose Send. Right after issuing, Send also appears in the green success box when no email went out. Check the recipient – only addresses stored for the customer (for a purchase order, the supplier) can be chosen – the language, subject and message, and whether the PDF is attached (its file name is shown) or only a secure, time-limited link is sent. Every email contains such a link. Read the email preview, then choose Send now to ….

Read the delivery status

The document head then shows, for example, "Sent on" with the date, time and recipient address. Sent means the email service accepted the message; SoPasst does not show whether it was delivered or read. Other messages are "failed", "being delivered", "scheduled" (reminders) and "Not delivered: email delivery is not set up".

Expected result and recovery

After sending, the document shows the date, time and recipient of the send. If no address is stored, add it to the customer record. If a send failed, correct the address and send again; Send again warns you when the document was already sent, and the failed attempt is not retried later.
